📌 Problems Faced in Current Smart Hostel & Attendance Systems

As active users of the Smart Hostel System and Smart Attendance System in our college, we have identified several practical challenges that reduce the efficiency, transparency, and student-friendliness of the platforms. The issues we face are as follows:

1️⃣ Manual Outpass System

Outpass requests are still handled manually, which contradicts the purpose of a “smart” hostel system.

This creates delays, dependency on paperwork, and lack of tracking for approvals.

2️⃣ Food Token System

Special meal tokens (e.g., biriyani day) are purchased separately, but no history/record of purchase is available in the portal.

If the manual paper token is lost, the student cannot access food, even though payment has been made.

The absence of a digital token system causes inconvenience and disputes.

3️⃣ Attendance Tracking Issues

Sometimes attendance does not appear on the student login portal, even after being physically present.

In such cases, students are incorrectly marked absent, with no easy way to raise or correct disputes.

4️⃣ On-Duty Approval Missing

The portal only supports Leave Applications, but there is no option for On-Duty (OD) approvals (for symposiums, sports, events, etc.).

This results in OD days being shown as absent in the system.

✨ Summary

Although the Smart Hostel and Attendance Systems aim to simplify student life, these gaps create unnecessary stress and inefficiency. By addressing the above issues—digital outpass, food token history & digitalization, attendance error correction, and OD approval options—the system can truly become transparent, reliable, and student-friendly.
